The perfect candidate should possess strong organizational, numerical, and detail-oriented skills. Effective verbal and written communication abilities are crucial for professional interaction with both management and suppliers. Some background in general accounting would be advantageous, including practical knowledge of Excel, as well as a basic understanding of debit/credit differentials and P&L versus Balance Sheet accounts. Given their close-knit team and collaborative workspace, a welcoming demeanour and a willingness to integrate seamlessly into the team are equally important.
The Accounts Payable (AP) team manages the accounting and payment processes for invoices and employee expenses in both GBP and foreign currency. A significant portion of invoices pertains to stock sourced worldwide.
The Accounts Payable Assistant role is a full-time position (35 hours per week), with some flexibility in hours potentially considered. The assistant's responsibilities involve:
- Coding, logging, and submitting invoices for authorization
- Posting authorized invoices
- Conducting a computerized weekly BACs run
- Resolving queries from suppliers and managers
- Regularly checking the purchase ledger email box, printing invoices, and processing them as needed
- Collaborating with the purchasing department regarding stock invoice receipts
- Invoice scanning for their online archive (this aspect will become obsolete with the implementation of their new ERP/Accounting system in Jan 2025)
- Reconciling supplier statements
- Providing coverage for other areas of the purchase ledger department during absences and holidays
Their accounting system is presently undergoing an upgrade from a bespoke but outdated package to Dynamics 365, with the go-live date set for 2025.
